About the talk

NineDots is a specialist technology recruitment agency based in Dublin, who work across a range of industries including AI/ ML, FinTech, Games, eCommerce and everything to do with computers, cables or code.

In this interview we will talk with Aisling and go through the issues that are troubling both employers and employees during this pandemic. Employers are trying to figure out how to go through the hiring process virtually and, even more troubling, how to onboard virtually afterwards. Data Science and developers are also having similar issues. In this interview we will go through some of the dos and don’ts on both sides and hopefully help you think of this new process.

Hello everyone, and thank you for tuning in to shift a i and thank you for still being with us. After all that's happened. Now something a little bit different we're going to do an interview with asking for curly actually say hi Craigslist recruitment agency that works with AI developers and people that work with computers and anything related. So we're talking about a little bit of what's been going on lately because of this pandemic and what the issues are with people trying to hire and two on board and whatnot. So aisling just to start off

what are some of the box today that companies have higher the moments to the other the current situation has time in force companies if you like to do adults to hiring and onboarding remotely and not every company is used to something like that. So I think the first robot really is Kobe's getting their heads around as being a very different process know it's always see it a different process for everybody involved and time to just interviewing enjoying your company

to the different experience for people who aren't used to a dog before so I think with us there is no need to take some time to recognize what's going to be the Elizabeth difference. So the Roblox that can come up with Brian Welch be identifying. What do we need to change want me to buy rocks the docks as part of our our into the I think of you process and onboarding process and making sure that you're planning to set yourself up for success in in the back way. So I think

mostly it really is about to be a new experience for song in a way some companies. Maybe not knowing how to how to best move forward if it's a completely new experience for them. Okay, so you're very special license ecology companies do have an advantage year as a lot of them can easily do things were actually just like we're doing this conference right now. So what is certified if your technology company and some of them are even hiring, you know, even at the same speed as before and

whatever what are they start with like the hiring process? What is so what are the first steps that would be different than a normal, you know in person. So I don't Compound on everything even to the point where you could walk your car runs interview process looks like how many stages who does start the interviews how long they take and having lots of almost like a robot for what your standard process looks like is quite helpful on because then it allows Me to

identify things that may need to change. So for example some interviews if they're usually done in person would be a different experience. I doing the right really likes whiteboarding session right now. So I think learning as much as possible Reedy allows you to move forward. So in that sense, once you identify what your standard interview process look like and what areas you may need to fly to change or tweak just sit up there remove friendly or video friendly.

That's where you find the best way to starstuff your best foot forward identifying. For example, I'm just I'll just take my corneas as an example. Kiawah Technologies what you need to use now that you wouldn't have to use before to a lot of your interview process has to move forward. So really the more you plan the less in the stakes are the Lesser prizes that might come up in the future and it should allow you to move an awful lot more smoothly than going on slide or are just trying to figure things out as they come up. I'm sending out time at the very beginning to figure things

out. The star is really cuz it the ideal way to to move forward. So that being said you mentioned whiteboards also, so what are some other things like specific topics? You can talk about that people need to think about how you said why are cold programming and also the entire environment? How do we get people? So when they when we introduce someone that usually comes the office so all these sort of inverse something how do we know how to companies are trying to hire? How should they do this in this sort of remote for a kworld?

You know, usually you're going to need a few different people you might have to around the office, you know, if it's on but he's kind of coming close to the end of the road test. Just because we can't do things in person at the moment doesn't mean that we have to lose the human connection. So some of the general rules of problems would be when the remote interviews or virtual interviews. The first thing is beyond time, you know, you don't want to have a person sitting in it a

virtual meeting room for 10 minutes or so, one of them being punctual ensuring the the environments that you were conducting the interview Fromm is distraction-free as fast as possible. And you know, maybe maybe you have a room that you can find on the outdoor side of the door to say in interviews and process of elimination as many distractions as possible is Hugely important, you know you if you're conducting an interview you want the person on the other side to reseal

that you can hear them and that you're listening to them that you're not getting distracted by things through even though we cannot always control pets and your children wandering into rooms the more you do to kind of unlimited potential distractions the batter. In terms of the office space necessary to be able to see the office space if you would do in an in-person meeting dolphin and Trust in one week on Phelps the if you have some photos for a taco from your various company events or office events that you can put together and slide

deck that's really hungry to show people what the space looks like and this will be where you'll be base when all of his passes. So the more kind of tools that you have at your disposal at your disposal to be able to show people on what does space look like the better. Another 3DS was really important one is going to be having people available to answer questions. This could be a very new process for some people maybe not everybody has John fully remote interview and things that

they having somebody available, you know on the team, but they could be joining to be able to answer questions and things I thought would be very very useful. Ultimately. You want to make this as seamless as possible over communication. Absolutely everything. Ozark new season free popular word right now, but I think a lot of people feel, you know, maybe a little bit insecure, you know, they could be in a situation where they need a job. So the more you can communicate to keep them in the loop about

what's happening in the process of the badger. So it's really just about the income taxable. No recognizing what your interview look like and what tools you need in order for them to be able to move forward smoothly. Kind of ties back to Sliding all of this from the very beginning. So definitely we have to communicate as much as possible and get people to sort of feeling that you're trying to know really talk to them you so you mentioned that we should do that through various channels and also set up some sort of like pictures and see what the office looks like with

office parties look like with the opposite of which is great. I'm I expect them to not have that so it took me something to look into so let's look like cuz usually when I mean when we are on board someone is like okay to start working and then you see them to come in the office. They pick up the computer there a laptop whatever and they start working and you see them now nothing if they're probably not allowed to see you. So how do we even start off if we

decide to hire someone like to get them, you know? Beyond borders protest is Knights of the importance. It's the first experience that a new employee hides as part of your company. Yardley are you know that. Kind of experience all join a new company really? It sets the tone for a person's Journey with your so again fine is the big one here, but generally speaking things that are really really useful to hug would be an onboarding documents that you could send out to a new employee may be weeks before they start just so they have time to reach trailers Beyond boarding documents should be a

single source of Truth for oxygen see everything by this person may need to know in their new job you no way to get into things like a welcome message. You don't here's your your roll your responsibilities. This is the team Mission listen to your team are but also outlining You know a lot of a calendar if you like all this is what your first day looks like. This is Week 1 week 2 3 4 all the way up to maybe the first three months of a person's employment and what you can expect in these weeks white can expect to achieve after a month

definitely who you need to meet other than section on Kia me speak to when you join. I think Super Taqueria importance, you know obviously will be time to meet people in person right now to be able to connect with people that you will be communicating with pretty frequently in your new role. So what's a quiet Hyundai is Jeffrey popular uses a new employees calendar before they join with meetings from with but they're hiring manager different people on the team or people with in other areas of the business. Do

they need to catch with set up video calls with an agenda about you know, what they're going to be discussing. I think that's really important for helping people feel part of the team, you know, when you've needed to connect with as many people as possible, even if it is you do Uber over video. It's definitely difference, you know. Your first day starting at a job remotely. Then you will be in the office when it comes to the equipment side of things and then for today's issue if you know that you got some buddies are saying in maybe a month's time. They make sure you

check in, you know with your your couriers near your children's livery service just to see if they're experiencing any delays so that you can make sure that your new employee has everything they need for their first day. Important documents that is why I should have all the onboarding materials that a person might need so usually when it when a person starts 30 rolls, they might have a session with a chore that much of a session with the IT team or Finance or whoever is necessary. All of those

resources are available in a single place is is really important because obviously he's not as easy not adjust to transfer over to your cottage somewhere question. So the onboarding documentary he can probably solve absolutely everything that a person may needs to conduct themselves schedule for Success. If you don't need to be to unlock they need to achieve in the role. So that means that a lot more things have to go into planning as I can expect even when we work when it was the same office. You can sort of, you know,

fix things along the way get jump on someone. I forgot to give you this here you go here you have to plan everything get it on time have like a data room with all those documents which I'm guessing a lot of smaller companies don't have so that's going to be a bit of work, but I do understand that makes sense for them. Also. I'm texting so all their like laptops and computers should be shipped to them in order to have it get it to their house. So you can set it up at home Fleet arrives though on time was it when I was hoping to be working on but also do you have any

tips from how to do bonding? I mean usually when he comes in you office is like hey, you meet people randomly not just people you have to work with directly. You grab a beer or coffee glass of wine, whatever you do like we have these virtual like Zoom Slack Skype things but is there anything that you have learned from you work with that works better than others from to get that Bond going between people cuz I think that's I think that's what it is. I mean when you're in an office with people all day, obviously you you can bond with an

awful lot quicker. Then sometimes a new timer remote Kate. It's a little bit different obviously working side-by-side with pico Robertson virtually for the time being. So I think what's really important is to be very definite about setting time aside for the team to get together and I may be though, you know every Friday you do a quiz or maybe you have drinks or just chalk really kind of nothing. Time out into the whole team to get together over Zoomer high as it'll whatever works best for you as opposed to saying I will do

the hospital. The bus will do it at some point like how it in the calendar every week is this is a stressful situation, I guess for quite a lot of people and protect me when you're starting a new job so I can be stressful and auction in at the best of times. So feeling that you have team that you can chop with and just get to know it's so important to have something for everybody can come together. You know, if you two look like slacks are absolutely amazing to be able to communicate with everybody really quickly, but it's nice to husband face to face time with

people. So you once a week maybe it's a half an hour. Maybe Tower. However long you keep have time for me to put my tongue so late. It is 1. So, I think he nice idea is doing so if somebody has done a good job on something or did, the extra mile to get something finish recognizes whether something is big or small. It's important to recognize all the winds. It means a lot to people on top of recognition for doing a good job and makes people feel closer to thirteen. So maybe he people want to do them.

Or email or a stock Channel at the Gratitude stock channel will show the channel something that goes for everybody can see when somebody is on a good job. So the more inclusive you can be as a whole team, but I sure I think about those come from the management as well. So lead by example and be. Strong communicator and you'll be the person who arranges the the weekly catch up some things by boss on because your leaders actions are going to be An employee's what they follow so you're being very very definite about

everything that you do. I'm just making sure that includes experience for everybody not just for new employees, but you know for existing employees who you might be new to remote working 12 you making sure that everybody still feels parks off the team and still feels together is really important right now. Great. So you work with companies on doing this is a very positive side to all this all this stuff going on right now. I mean, it's obviously takes more planning with people usually didn't do because of wasted no time

wasted their time and they have to have everything but is there a positive effects perhaps to come as you were with I and I had in that may be there in Tire onboarding experience can now be easier better or whatever in the future. I mean, what is your experience with that so far? I think it is going to be there are going to positives to come from us. Definitely. Some companies who you may be able to be open to remove working before on 290 being forced into us can see that it is something that kind of work. You know that it's quite likely that

companies will have to on boars most believable. He so it's not going to be a case. We're okay. We just have to do this once and then we move on and never think about it again. It is going to be something that will have to do quite a few times and don't be afraid of making mistakes mistakes in the ends. Like when we do come through from this There is going to be more of an open mind around remote working for companies, you know, maybe that means you got access to concerts that you didn't have access to

before because not everybody can read. Okay strike Uncle who is icing a kind of why didn't the next of how your company can grow if you can adopt to remove working adopt to you don't remove onboarding is really only going to be a positive thing. And you know, everybody does work differently. Everybody has an environment that they work in that some people are so much more productive working remote faith and some people better in the team bus if your company is that where you know, what you can have both of those. Sorry I ever going to be a positive thing. So

yeah, I do think a lot of companies will be about that more adoptable or potentially be a little bit more open-minded when it might not have been something that's like 34 I'm so we're running out of time. So to give and you have any other side the onboarding where the hiring process given the current situation or do you think you'll be mindful about why things we have to do this right now? I'll be mindful the some people are quite stressed. This isn't going to be

forever the more planning that you put into this and more work. You know, it's real unicorns that your company up for Success. It's not going to be wasted time is just going to help you to move forward. Bit quicker. I'm so be nice with the situation reminds for the people might be more nervous when you're interviewing be mindful of your processes will be a little bit of difference to what they were before, but it doesn't mean that they can't be successful humans going to die so things and we just have to try and learn if if things don't go 100% right the first

timer ends All right asking. Thank you very much. If anyone has any questions, feel free to reach out to her. She will be in the chat. I think right now, but also you have your contact information our website and you also find her at 9.. IO so thank you all very much and often.
